Import your bidding opportunities into RhinoDox with this integration
NOTE: This integration has two requirements:
- You must have a paid subscription with Bid Board Pro in order to successfully setup the integration.
- You must contact customersuccess@rhinodox.com to request that this feature be turned on (it does not cost extra to use this integration).
If you meet the criteria and have contacted RhinoDox to have the integration turned on, please move onto the next steps below
How to connect RhinoDox and Bid Board Pro
Once RhinoDox has turned on the feature for your account, each account user that wants to use the integration will need to click Projects -> Bid Board Pro -> Autodesk Login and complete the authorization process. Watch the walkthrough video below to see the steps:
How to open a project from a Bid Board Pro opportunity
NOTE: Please be sure your account has at least one Division and at least one Branch configured before importing opportunities into RhinoDox. Click here to read about Divisions and Branches.
Once the integration is connected and authorized, the Bid Board Pro tab in RhinoDox will display all Accepted and Undecided opportunities imported into RhinoDox.
Clicking the name of the opportunity will open the opportunity in a new tab within Bid Board Pro. Clicking the opportunity will show any nested or grouped opportunities.
Click the trashcan icon to remove the opportunity from RhinoDox. This will NOT affect that opportunity in Bid Board Pro, it simply hides any opportunity that you know will never be imported into RhinoDox.
You can select one or more opportunities, or all, using the check boxes on the left side. Then click "Import Selected Opportunities" to begin the import process to bring them into RhinoDox to build the proposals. NOTE: Any opportunities that you want to import as a batch should be intended to be associated to the same Branch and Division.
On the next page you will be need to select a Division and Branch to attach to the selected opportunities. Click "Next" after making your selection.
The last step in importing the opportunity is either creating a new GC to bid to, or attaching the opportunity to an existing GC that already exists in RhinoDox. Select "Import from Bid Board Pro" to create a new GC or "Map to existing RhinoDox GC" to map the opportunity to an existing GC from RhinoDox. Each opportunity will have it's own mapping, so be sure to take a moment and set your GCs correctly, the click "Done" in the bottom left corner.
RhinoDox will automatically populate the following information into each project from each the respective Bid Board Pro opportunity:
- Project Name
- Address
- Priority
- Estimated Start Date
- Estimated Completion Date
- Bid Due Date
Once the opportunity or multiple opportunities are imported, visit the Project Pipeline and you will be able to click into each new project and begin building your proposal as normal.
There is a direct link you can click to visit the opportunity in Bid Board Pro on the Project Details page. See the image below:
NOTE: Importing an opportunity can only be performed one time. Once imported, the RhinoDox project will not receive updates made to the opportunity in Bid Board Pro, and vice vera. All updates and changes need to be manually performed in both Bid Board Pro and RhinoDox after the import process is complete.
