How to cleanup your project pipeline

Maintaining an accurate and up to date project pipeline is key to ensuring your data is complete

It can be easy to allow your pipeline to fall into disorganization - everyone is short on time and bids need to get out the door! However it's in the best interest of estimators, managers, and leadership that the project pipeline receive routine maintenance from time to time.

The information within each project and tied to each proposal feeds directly into your Bid Analytics, so if your project pipeline is incomplete and inaccurate, you will data will be as well.

It is very common for projects to become outdated and forgotten about, this is a normal and common occurrence. However it does require some cleaning up.

By "cleaning", we simply mean addressing the current status of the project and its details, then moving it into it's correct and current status. This could mean either:

  1. Moving the project to Bid Submitted if it was sent to a GC
  2. Marking as Abandoned if the project was never actually bid and is no longer actively being pursued
  3. Awarding the project as Won or Lost

There are MANY different ways to approach cleaning up a project pipeline. I will go over two that we find most beneficial below:

Method 1: Sort by project status

If you're looking at a smaller and more manageable amount of projects (I would say anything less than ~20) to clean up, sorting by project status can be the most efficient way to update your pipeline. Watch the demo video below for more information: 

 

Method 2: Sort by status AND Bid Due Date

It's not uncommon to see dozens or even hundreds of jobs back up in a single status. This is a situation where you'll need to spend some additional time culling and resorting projects into the status they should be in. To avoid burning out or updating projects to the incorrect status, we recommend sorting by project status AND Bid Due Date, and breaking up the work into digestible chunks to complete day by day or week over week.
